People and Business areas
Processes have an owner, people involved, a responsible area and areas involved. These records live in Processes > People and Processes > Business areas, and they also work as filters in Traceability, in Execution Analytics and in the Automations list, besides showing up in the automation document.
People
A person is someone who answers for a process or takes part in it. They do not need to use Proton: they have no login and do not take up a license.
The list shows the name, the e-mail, the job title, the area, the Proton user (or "No Proton access"), how many processes the person owns (Owns) and how many they are involved in (Involved in).
Register
New person opens the form:
| Field | What it is |
|---|---|
| Proton user | Optional. Link the person to the user when they also use Proton. Robot and system accounts are not included, and a user links to only one person. |
| Name | Required, up to 150 characters. |
| Optional, up to 150 characters. | |
| Job title | Up to 100 characters. |
| Area | The person's business area. Type a new name to create the area on the spot. |
When the person is linked to a user, the name and e-mail come from the user's record and follow its changes.
Delete
The processes the person owns are left without an owner, and the person is removed from the people involved.
Business areas
The areas of the organization that answer for the processes, such as Finance or Logistics. A process has one responsible area, which is what filters and indicators add up by, and it can have other areas involved.
The list shows the name, the description, how many people belong to the area and how many processes it is responsible for (areas involved are not counted).
New area asks for the Name (required, up to 100 characters and unique in the organization) and the Description (up to 500 characters). You can also create the area without leaving the process or person form: type the new name in the area field.
When you delete an area, the people and processes remain registered, just without it.
History
In both lists, History shows each change: when, who, the source (in the app, through the API or by AI) and the fields with their value before and after.
Permissions and mobile
- Each record has its own permissions (view, create, edit and delete), in the Processes domain of the profile: People and Business areas. The Proton user field lists users for those who can see the organization's users.
- Both screens are designed for a computer.
