Automations
Automations > Automations holds your organization's automations, organized in folders. From here you create, edit, move and delete automations and open the datasets of each one.
The list
Each card shows the platform (desktop or mobile), the favorite star, the private or public padlock, the name (with the Copy button), the description, the tags, the folder and the business process. Clicking the card opens the automation's datasets.
Folders
The Folders panel, on the left, organizes the automations in a tree:
- All automations shows everything; Uncategorized shows the ones that are not in any folder.
- Selecting a folder lists its automations and those in its subfolders. Each folder's count includes its subfolders.
- Create Folder asks for the name and, optionally, an icon and a color. From the folder's right-click menu (or its ⋮): Create Subfolder, Rename Folder and Delete Folder.
- Drag an automation card onto a folder to move it there. Drag a folder onto another one to make it a subfolder, or onto Uncategorized to move it back to the root.
- With more than five folders, a folder search appears.
Deleting a folder also deletes its subfolders, and their automations go to Uncategorized: no automation is deleted.
Search and filters
- Search automations by name, description or tag.
- The star turns on the Favorites only filter.
- Filters: platform (Mobile or Desktop) and visibility (Public or Private).
- Process: the business process (including its subprocesses), the responsible area and the owner. With this filter, automations without a process drop out of the list.
The filters combine with the selected folder.
Favorites
The star on the card marks the automation as a favorite. Favorites are personal (each person has their own) and show up first in this list and in the automation pickers, such as the ones for transferring a dataset and importing a spreadsheet.
Create an automation
Use Add and fill in:
| Field | What it is |
|---|---|
| Name | Required and unique in the organization. |
| Identifier | Optional. A code the automation project uses to find the automation, such as @login. |
| Description | Optional. |
| Tags | Optional. Type a new name to create the tag on the spot. |
| Business Process | Optional. The process the automation serves. See Process map. |
| Platform | Desktop (the default) or Mobile, for app automations. |
| Visibility | Public (the default) or Private. |
The automation is created in the folder selected in the panel. With Open datasets after creation turned on, Proton opens the new automation's datasets, already starting the creation of the first dataset.
Edit
Edit opens the same fields, plus the Folder, who created the automation and, for a private automation, its teams.
Private automation
A private automation is visible only to the teams linked to it (and to the administrator). With Private checked, choose the teams and the access level of each one:
| Level | What the team can do |
|---|---|
| Read-only access | See the automation and its datasets. Always checked. |
| Execution access | Run it. |
| Update access | Edit the automation and its datasets. |
| Full access | Everything, including changing the visibility and the teams. |
Changing the visibility requires the private automation permission in the profile and full access in the team. Teams are in Access & Teams > Team. See Teams.
Automation runners
Select Agents restricts which runners the automation can run on. Check the runners in the Runners tab and save.
- With no runner checked, the automation runs on any runner.
- With runners checked, only those are offered when you start a run.
- When a run includes several automations, the runner must be allowed in every one of them that has a restriction.
Restricting runners requires, besides editing the automation, the exclusive runner permission in the profile.
Move and delete
- Move to folder moves the automation to another folder or to Uncategorized.
- Delete removes the automation along with everything that belongs to it: the datasets, the datasets' run history, the variables and its membership in automation groups. This cannot be undone. The deletion is recorded in the history.
Permissions
| Action | Profile permission |
|---|---|
| See the list | Automations: read |
| Create automations and folders | Automations: create |
| Edit, move, open the datasets | Automations: update |

In a private automation, your team's access level also applies.
